How to use the Time Card Calculator
- Enter the start and end time for each day you worked, and the unpaid break in minutes. Leave days you did not work empty.
- A shift that ends after midnight is fine — an end time earlier than the start time counts as the next day.
- Set the overtime rule (40 hours a week by default, optionally 8 hours a day) and your hourly rate if you want your pay.
- Read the total hours in hours and minutes and in decimal, the regular and overtime split, and the gross pay.
About this tool
Payroll needs hours as a decimal number, while a time card shows clock times. This calculator does the conversion for a whole week: for each day it takes the end time minus the start time, subtracts the unpaid break, and shows the result both ways — 7 hours 45 minutes is 7.75 hours, because 45 minutes is three quarters of an hour. To convert minutes to decimal hours yourself, divide them by 60.
Overtime. Under the US Fair Labor Standards Act, non-exempt employees earn at least 1.5 times their regular rate for hours over 40 in a workweek, and that is the default here. Some states add a daily rule: California, for example, pays overtime for hours over 8 in a day. Tick the daily option to count those hours as overtime first; the weekly limit then applies to the regular hours that remain, so no hour is counted twice. California’s double-time rule (over 12 hours in a day, and the seventh consecutive day) is not modelled, and other countries set their own rules.
Rounding. Many employers round clock times to the nearest 5, 6 or 15 minutes. Pick a rounding rule to apply it to every start and end time before the hours are added up — the results then match a payroll system that does the same. Everything is calculated in your browser and nothing is saved or sent anywhere.
Frequently asked questions
How do I calculate hours worked?
Subtract the start time from the end time and take off any unpaid break. 8:30 AM to 5:15 PM is 8 hours 45 minutes; minus a 30-minute lunch that is 8 hours 15 minutes, or 8.25 hours.
How do I convert minutes to decimal hours?
Divide the minutes by 60. 15 minutes is 0.25 hours, 30 minutes is 0.5, 45 minutes is 0.75, and 20 minutes is 0.33. So 7 hours 20 minutes is 7.33 hours.
What about a night shift that ends after midnight?
Enter it as it happened — for example 10:00 PM to 6:30 AM. When the end time is earlier than the start time, the calculator counts it as finishing the next day, so that shift is 8.5 hours before breaks.
When does overtime start?
In the US, federal law requires overtime pay of at least 1.5 times the regular rate for hours over 40 in a workweek for non-exempt employees. Some states, such as California, also require it for hours over 8 in a day. Your employer, contract or local law may set different rules.
Are breaks paid?
It depends on the law and your employer. In the US, short breaks of up to about 20 minutes are generally paid working time, while meal breaks of 30 minutes or more where you are fully relieved of duty are usually unpaid. Enter only the unpaid break.
